Who we are
5C Virtual Assistance (5CVAS) is a Philippines-based virtual assistant staffing business. This policy explains how we handle personal information collected through www.5cvas.com, website forms and chat, discovery-call bookings, and our Facebook and Instagram lead forms. It covers business inquiries and marketing contacts. Job applications and information handled for clients under a service agreement may be covered by separate notices or agreements.
Information we collect
You may provide your name, email address, phone number, company, job title, business website, staffing needs, preferred contact time, and other details you choose to include in a form, message, or booking. Facebook or Instagram may prefill some fields from your profile; please check them before submitting. We also keep relevant correspondence and appointment details. Please do not send patient records, confidential legal case files, government ID numbers, payment-card details, or other sensitive information through our sales forms.
Website and analytics information
Our website and its service providers may collect IP addresses, browser and device details, pages viewed, referring pages, approximate location, and interactions with forms or links. Wix provides website services, and we use Google Analytics to understand website activity and improve our site. Cookies and similar technologies may support site operation, security, preferences, and analytics. You can manage cookies through your browser and any cookie controls offered on the site. Blocking cookies may affect some features.
How we use your information
We use your information to respond to inquiries, discuss VA staffing needs, arrange discovery calls, prepare proposals, provide requested services, and follow up on your interest in 5CVAS. We also use relevant information to manage our business relationships, understand website and campaign performance, maintain security, prevent misuse, and meet legal obligations. If you subscribe to updates, we use your email for those updates. We rely on consent where required, steps taken at your request before entering a contract, contractual obligations, applicable legal obligations, or legitimate business interests where the law permits.
Facebook and Instagram leads
When you submit a 5CVAS lead form on Facebook or Instagram, Meta sends us the information you submit. We use it for our own sales follow-up about our services, using the contact details you provide. We do not sell lead information or share it with other businesses for their own marketing. We do not currently use SMS marketing or Meta Pixel remarketing. Meta separately processes information on its platforms under its own privacy policy. Submitting an inquiry does not require you to purchase our services.
Service providers and other disclosures
Authorized team members and providers may process information as needed to operate our business. These include Wix for website, forms, and chat services; Calendly for scheduling; Google Analytics for website analytics; and providers of email, business communications, and record storage. This operational processing is different from selling leads or allowing another business to market to you. We may disclose information when legally required, to respond to valid legal requests, or when reasonably necessary to protect rights, safety, and security. Links to third-party services are subject to those services’ privacy practices.
Where information is processed
We operate in the Philippines and serve businesses in other countries, including the United States. Our team and service providers may process or store information in the Philippines, the United States, or other countries where they operate. Applicable privacy protections may differ by location. We remain responsible for our handling of personal information and take reasonable steps to use appropriate safeguards for transfers and provider access.
How long we keep information
We retain personal information only for as long as reasonably needed for the purposes described here. The period depends on whether an inquiry is active, whether it becomes a client relationship, and applicable accounting, legal, dispute-resolution, or recordkeeping requirements. When information is no longer needed, we delete it or remove identifying details, subject to necessary backup retention. We may keep a limited record of an opt-out so we can respect your request.
Your choices and privacy rights
You can ask us to stop sales follow-up or marketing at any time by replying to our message or emailing contact@5cvas.com. Use the unsubscribe option in marketing emails when available. Depending on applicable law, you may request access to your information, correction, deletion or blocking, a portable copy, or object to or restrict certain processing. You may withdraw consent for processing based on consent; this does not affect earlier lawful processing. We may need reasonable information to verify your identity and may retain information where legally permitted or required. If Philippine data-protection law applies, you may also raise a concern with the National Privacy Commission at privacy.gov.ph.
Security and children’s information
We use reasonable administrative and technical safeguards intended to protect personal information and limit access to people who need it for their work. No website, transmission, or storage system can be guaranteed completely secure. Our services and sales forms are intended for business users, not children. If you believe a child has provided personal information to us, contact us so we can review and address it.
